Note: This is a preliminary privacy policy. Once business registration and
data processing agreements are finalised, this document will be updated to include complete
legal entity details and GDPR-compliant processing records.
1. What data we may collect
Depending on which services you use, CivicAssist (DE) may collect or process the following
types of data:
- Personal identification data: name, date of birth, nationality, gender,
place of birth.
- Address data: current address, previous address, postal code, city.
- Document data: form data you enter when preparing a document (e.g. for
Anmeldung, Bürgergeld, Kindergeld). On the web form, this data stays in your browser and is
not transmitted to our servers unless you initiate generation.
- Contact data: email address (if provided for support or delivery).
- Telegram ID: used to deliver your PDF and to send Termin notifications
via the Telegram bot.
- Payment status: whether a payment was completed. We do not store full
payment card details — these are handled by our payment provider.
- Appointment monitoring preferences: city, service type, and monitoring
duration selected when activating Termin monitoring.
- Support communications: messages you send to our support channel.
2. How we use your data
We use the data we collect for the following purposes:
- To generate your requested PDF document and deliver it via Telegram or download.
- To provide and operate the Termin monitoring service and send notifications.
- To process and verify payment status (via our payment provider).
- To provide customer support and respond to your queries.
- To improve the service — understanding which documents and cities are most in demand.
We do not use your data for unsolicited marketing and we do not sell or share your personal
data with third parties for their own commercial purposes.
3. Data we do not collect or sell
- We do not sell your personal data to any third party.
- We do not share your data with advertisers.
- We do not build profiles for targeting purposes.
- We do not use your document content for AI training without your explicit consent.
4. Payment processing
All payment transactions are handled by Stripe, a PCI-DSS compliant payment
processor. CivicAssist (DE) does not receive, store, or process your full card number, CVV, or
banking details. We only receive a confirmation of payment status from Stripe.
Stripe's privacy practices are governed by
Stripe's Privacy Policy.
5. Data retention
Generated PDFs are deleted from our servers within a short period after delivery (typically
within 24 hours) in line with our GDPR data minimisation practice. Monitoring session data is
retained for the duration of your active subscription and then removed. Support communication
history may be retained for up to 12 months.
6. Your rights
You have the right to:
- Request access to the personal data we hold about you.
- Request correction of inaccurate data.
- Request deletion of your personal data ("right to be forgotten").
- Withdraw consent for data processing where processing is based on consent.

7. Cookies and tracking
The CivicAssist (DE) website does not currently use advertising trackers or third-party analytics
cookies beyond what is necessary for basic functionality. If this changes, this policy will be
updated accordingly.
8. Policy updates
This privacy policy will be updated once our business registration is complete and full legal
entity details are confirmed. We will notify users of material changes via the Telegram bot or
by posting the updated policy on this page.
